What is Document Exchange?

Document Exchange (DocEx) is a secure online portal that allows education providers and Department for Education (DfE) to share documents safely.

You can access this service by requesting the Document Exchange role via DfE Sign-in.

1. How do I access Document Exchange? / I can’t access Document Exchange

If you don’t have a DfE Sign-in account:

  1. Contact your organisation’s DfE Sign-in approver (usually a headteacher or senior administrator).
  2. Ask them to invite you to the service.
  3. You can also visit DfE Sign-in to get started.

If you already have a DfE Sign-in account:

  1. Log in to DfE Sign-in and check:
    • You’re linked to the correct organisation(s).You can view this under ‘User Management’.
  2. If you're not linked to the correct organisation:
    • Follow the guidance in DfE Sign-in to add your organisation.
    • Your organisation’s approver will need to approve the link and assign you the Document Exchange role.
  3. Check your assigned roles:
    • Your access to Document Exchange depends on the roles assigned to you per organisation.
    • If you're part of a Multi Academy Trust (MAT), the role can be assigned at the MAT level, so you don’t need separate access for each academy.
  4. Still need access?
    • Ask your organisation’s approver to assign you the Document Exchange role.
    • Approvers can find step-by-step guidance on how to do this within DfE Sign-in.
