Apprenticeship Service - unique email address

Afternoon,

I'm hoping somebody can help me with this query or has had a similar experience. We have a new Apprenticeship learner and when setting up their record on the Apprenticeship Service it gives an error which says 'you need to use a unique email address'. The learner doesn't have any alternative email addresses we can use, looking at her PLR she was withdrawn from an Apprenticeship in June 2022 but as I'm not getting an 'overlapping record' error I assume that record has been stopped.

I've asked the Service Desk for support but they have said that "unfortunately an email address can only be used against one apprenticeship record. For any subsequent records a unique email address will need to be used." which seems a bit odd, so every time a learner progresses or moves employer they'd need to create a new email address??

Ooh, that's a problem innit? Surprised that didn't get picked up.

Here's a potential hack if it's a gmail though, if you add a + into the address gmail ignores everything past the +, so for example if the registered email is:

iloveapps@gmail.com

then

iloveapps+second@gmail.com

will end up in the same inbox and, I assume, get past the AS problem?

Hmm never knew that, it does happen to be a gmail address so I'll try that! Does seem odd though and I'd be surprised if this hasn't happened to somebody else before now, surely can't expect learners to create new email addresses whenever they move employer or progress to another Apprenticeship :-(

Unique means this can be the apprentice’s personal, college or work email address, but not a group email address.

That's correct, the issue is the learner having to use a different email address for every Apprenticeship Service record, so if the progress or even just change employer, the latest from the Service Desk was:

"We realise that using a new email address for each record can be time consuming for learners. We will feed this back to our design team to consider for any future updates, however - at this present moment in time - learners will need to create a new email address for a new record to be entered onto the system to confirm apprenticeship details.  
 
I hope this information helps, Steve, and I apologise that there is not a fix for this."

Although I have been able to get around it this time using Steves + trick...

Apprenticeship Service Engagement (DfE)

I have an update on this thread from the Apprenticeship Service Operations team. They say:

A unique email address is not required for each apprenticeship record and the same email address can be used multiple times for an apprentice, such as when they change employer or provider, or progress on to a new apprenticeship.

 We appreciate that the error message you received may not assist in addressing the issue on the record and we are looking into this.

 There can be different factors that may lead to an error message around an email address, such as a possible overlapping record.

 If you need any assistance with resolving any error messages when drafting an apprentice record, please contact the National Apprenticeship Helpdesk at helpdesk@manage-apprenticeships.service.gov.uk or 08000 150 600.
