If you submit more than 500 learner records the tool may slow down and the ESFA will not provide support if you go over this limit.
As this tool does not include any reporting or analysis of your data you would be advised to use one of the commercial ILR management systems if you expect to exceed the supported limit.
In practice I have used it well over the 500 learner limit, but this is not advised where this is your only software for producing an ILR return.

We use the LET successfully with 380 learners, however we will be near to 500 by the end of the year. We've been wondering where we go from here, does it warrant the cost of a ILR management system ?
Could I export the file to be uploaded to the new funding year 23/24 but select "do not export" on leaners who have completed or withdrawn, thus reducing the number of learners on the LET but they will be on the old funding year software if needed. Will this have an effect on our reported numbers ?

Learner Entry Tool - Max Numbers?

Hello All,
I'm just after a few opinions on the Learner Entry Tool.
I have heard that when providers hit 80-100 they should be looking into getting a new ILR / LMS system. I'm aware that the cap states 500 learners.
Does anyone have any experiences of going above the 100 mark or recommend another set number of learners?
Unfortunately, procurement for a system within our centre is 18-24 months so not easy to get this up and running so we need to stretch the LET as much as possible.
