If all training has been completed you'd need to update the ILR per the below:
When the training period for the apprenticeship standard is complete, but the end point assessment period is incomplete, the Outcome must be recorded as code 8 ‘Learning activities are complete but the outcome is not yet known’. Where the Outcome is recorded as code ‘8’, the learning actual end date must also recorded, as all learning activities have taken place.
You'd leave them like this for the duration of their break because as you've correctly pointed out, there's no more learning for them to take a break from.
There's no formal requirement for a gateway meeting or review, though practically I appreciate it makes sense to have a final 'check'. The ILR doesn't recognise gateway formally. It's only interested in the date the last instance of training took place (in this case), so your internal processes notwithstanding, if you know when this was, you can enter it.
Do what, sorry? When learning has finished the prog completion status/outcome is set to 1/8 until all the EPA activities have concluded at which point they're changed to 2/1 (if completed and passed) or 2/3 (if completed and failed).
If they withdraw before completing all elements of the EPA they're a withdrawal, so you'd change them from 1/8 to 3/3.
If they complete all elements of the EPA but fail you'd change them from 1/8 to 2/3.
if they complete all elements of the EPA and pass you'd change them from 1/8 to 2/1.

Break Query - Completed Learning But Not Gone Through Gateway

Hello,
We have a learner who has completed their learning towards the apprenticeship and is ready to go through to their gateway meeting, however now requires an extended time off so will not be having their gateway meeting. What do we do, as they are technically still in progress on the ILR, but if we put them on a break, there's no learning for them to return to.
