They should appear as completed the month of (or after) you've received your completion payment. Reasons you might not have received the payment (and the apprentices are still showing as live, therefore) include:
Completion payment not made
There are two common reasons for the completion payment not being made and the apprentice still showing as ‘live’ on the service:
- the ILR has not ‘matched’ to the apprenticeship service (data lock), or
- the training provider has not evidenced that the employer has paid sufficient co-investment
In these circumstances, the training provider and employer must work together to ensure all data matches and inform us that co-investment has been correctly paid. The completion payment can then be made.
As for the mismatch you describe, this normally happens when the ILR has been updated to acknowledge the progression (e.g., from L2 to L3) but the DAS account for the second apprenticeship has not been recorded. Have both systems been updated/do they match?

How long does it take for the status to be changed to completed on the apprenticeship service account after the apprentice has achieved? We have apprentices that achieved Jan / Feb 2023 that are still showing as live.
Also, an apprentice achieved his L2 and I think because it was still showing as live when he progressed to L3 this is causing a data mismatch as it still thinks he is on the L2.
