I have a learner who started a Level 3 Team Leader/Supervisor apprenticeship in February 2022.  They have recently returned from a break in learning into a different cohort.  I have calculated his revised end dates (planned end practical learning and apprenticeship end date).  However, these dates for the new cohort he has joined are an additional 14 weeks in the future. 

I think this means I have to extend his practical learning period by 14 weeks and revise his OTJ hours– is the correct?

Because he started his apprenticeship in the 2021/2022 funding rules year, and there have been no changes to the standard, I am revising documents and OTJ hours using the 2021/2022 funding rules – so still using a commitment statement and using the old OTJ calculation – is this correct?

This seems to give a very high OTJ figure when compared to the OTJ figures calculated using the calculation for 2022/23 funding year.

Help/advise would be greatly appreciated.

The OTJ hours must not be amended and should remain as agreed at the start of the programme.

Normally the planned end date should only be extended by the duration of the BIL, although it may be longer due to valid operational reasons, this could be an audit issue where it cannot be justified as this may be seen as circumventing the rule that the planned end date (total duration) should not be changed in the ILR.

For clarification if the end dates are revised to reflect the BiL only and the learner then continues in active learning for a further 14 weeks, this would not require their OTJ to be revised ?

No, the Original OTJ hours on the ILR must not be changed see the technical OTJT guidance below.

The figure on the ILR represents the agreement on day one and this must be the same figure that is on the original apprenticeship agreement and training plan. The ILR planned hours field must not be changed but the other two documents are working documents and can be updated throughout the programme.
