Hi, apologies for yet another question about the OTJT calculation as this has been asked a lot in different ways but I can't find something that cements my understanding on how to calculate it. The apprenticeship OTJT version 4 October 2022 policy states:

30 hours is now used for all full-time apprentices which suggests, regardless of the apprentice's actual working hours, you use 30 for the calculation and then deduct the statutory 28 days (more these days with the extra bank holidays we are having). The course duration in this example is 18 months - so the calculation we use is 30 hours for the duration of the course less the pro-rata equivalent statutory leave entitlement (which is higher than 28 for an 18-month course). Doing this has put a small number of our learners onto an FRM37 report and we are struggling to understand why. 

Please could someone help us to understand where we are going wrong? Thank you in advance.

Total hrs 2340 less holiday entitlement 252 = 2088 hrs at 20% = 417.6 OTJ min.

Or Total weeks 78 less holiday 8.4 weeks = 69.6 weeks at 6 hrs per week = 417.6 OTJ hrs min

Hi Folks, one further question on this. We have learners on the FRM37 report due to OTJT hours that were calculated wrong and uploaded to the ILR. Are we now allowed to amend the OTJT hours to update the ILR in order to clear the affected learners from the FRM report? Thanks in advance.

Yes, that's fine

It is important to record the data in this field accurately at the being of the programme based on its supporting evidence. Data in this field should not be amended. The exception to this is if you are correcting a recording error.

To correct the error providers are permitted to change the field value to reflect the evidence they have in the evidence pack. This includes changes required after hard close. We will monitor changes to ensure compliance with this field.
