change from full to part time

Good morning :-)

One of our apprentices advised me today she went from full time to part time in September this year and will resume full time work again around April next year.  There will be a need to change her learning plan and update the Training Plan accordingly as she is only doing half the hours now each week.  What I wanted to ask is, do I take in to consideration the time that has elapsed already and the hours she has already completed when recalculating a new planned end date and min OtJ hrs?  I know what to do if it were from the start date, but not part way through.  And again, when she goes back to full time next year, do we calculate another planned end date based on hours she has remaining in her learning plan?  I just want to be sure we are calculating everything correctly.

Original start date 21.06.23  full time.  Planned End Date 23.12.24
Change to part time effective from 04.09.23 until 01.04 ( or thereabouts) 2024.

Hi Rowena Hunter, I don't suppose you ever found out the answer to this did you?

I have a learner (23/24 starter) who has completed more than a year on programme already at full time hours (so has met the minimum duration already), and is about to go on mat leave. She wants to work 28 hours per week after she returns. I've just been on with the DAS helpdesk and they've said that I need to extend the duration of the remainder of the programme based on her new hours, but weren't able to give guidance on how to do this. Maybe:

30 (standard FT hours) / 28 (new part time hours) = 1.071

198 (days of programme remaining at normal FT progress rate) x 1.071 = 212 days

And her minimum OTJ would remain the same because it's all just extended proportionately?

Hopefully you got an answer from somewhere on this one and aren't still stuck as well! 🤞

Hi Victoria

Yes, we did what you suggested above for the hours remaining only.  Seemed to work.  I didn't get/find any specific guidance on this though in terms of the calculation.  Only send to the part-time guidelines in the funding rules for that year.  Sorry I can't be more help.

Thanks Rowena, it's reassuring to know you've taken the same approach. Also, I've just realised that your post was from Oct 2023 - for some reason I thought it was Oct 2024 - so I'm sorry for reopening such an old thread I'm sure you've long since moved on from! 😏
