Hi All,

I hope someone can help, I have some across something I haven't had before, and not sure how to resolve it.

We recently processed some leavers before the R13 claim, and I was expecting to see clawbacks on the reports this week, but nothing was taken back for them.

The learners started in July, have a last day of learning in August so did less than the 42 days/6 weeks on programme.

There R13 ILR was left on programme, which I can understand why the payment wasn't taken back, and they were processed before the R1 submission as leavers so no payment was made or taken back in R1 as they didn't do the full month to qualify for a payment.

How do we now pay back July's payment as we aren't entitled to it, I thought the reports might reconcile somehow and know they had done less than the qualifying period but it doesn't seem to, and we don't want to keep the money, or have to put an incorrect date in our R13 ILR as we cannot enter an August date in there.

Any advice would be welcomed.

Hi,

The details of the recovery should be in the Apps Monthly payment report for R13, but the money doesn't come off until R02.

Any R14 recoveries come off R03.

You need to know what is coming off which funding line, as you will not get a separate remittance.

Thanks for your reply, the recovery didn't show on my R13 Apps Monthly Report which I was expecting to see, it showing taken back per learner, which is where I was expecting it to show.

Any other thoughts you have would be appreciated.

Hi,

Unfortunately I have no examples from which I can check, but if they were submitted as leavers prior to R01 / R13, then surely there must be a recovery in one of the Apps monthly payment reports. 

Have you checked that they were actually included in the export files for both periods?

Sorry, I can't think of anything else, perhaps some else has an example they can use to verify this.

Thanks for looking at this Martin, I appreciate it.  I couldn't remember ever having this issue before, and I have gone back over my data for the last few academic years and we haven't had any learners who started in July and left within the 42 days as I wanted to see what happened previously.

Yes, I have checked they were included in the export files for both periods, but good idea as that could have been the solution.

I also have a ticket in with the helpdesk, but hoped someone here may have had this happen before, hopefully they will see this and have a solution.
