Term Time Only Learner, PED in August

Hi,

I'm wondering if anyone can help with some advice on a term time only learner who, when we have calculated the duration and OTJ hours, is showing a practical period planned end date within the month of August.

With being term time only, we are obviously unable to plan tasks within August, and although they could achieve before this date, we are unable to show we are planning their practical period up to and including this date.

Do we need to change the planned end date? We could move it forwards to July, keeping the OTJ hours required the same and a statement it has been agreed for this to take place due to TTO.  Or we plan into August regardless, which could be changed nearer the time but gives a false aim planned end date.  If we push the date back into September this would increase the number of OTJ hours required for the learner which is not needed and seems unfair to them.

Has anybody come across this before and have any advice on what should/can be done in this scenario?

Presumably July would still be over 12 months? And they'd still be able to do an appropriate number of OTJ hours? TTO are always a bit compressed anyway, right...

Think it would be OK with a note, the extended duration rules are a bit flimsier these days...

Hi Steve,

Thank you for your reply.  July would still be over 12 months yes.  So I just wanted to confirm your thought here; So we would move the planned end date forwards to July and add a note that the hours planned are based on the full duration calculated, and that the full OTJ hours remain the same figure as originally planned to be completed, but that the planned end date for practical has been agreed to be brought forward a month to mid July due to the calculated end date landing in August (which is a month the learner would not be contractually working due to term time only)?  

The hours are already marginally compressed due to being term time only yes, and we already have a statement signed that this is understood and agreed by all to cover all term time only learners as per the funding rules.  My thought is they wouldn't be further compressed for the learner or disadvantage them in any way as they would still be completing the same number of originally planned OTJ hours technically within the same term time period they had with or without moving the date.

I mean, the *minimum* OTJ calc would just be 5hrs x number of weeks, but if you choose to deliver the same number as if their course was 3/4 weeks longer that's also fine.
