LSF/EAS claims - break in learning is before last day of month

I have read and re-read guidance and submitted a helpdesk query (which I have gone back to as their response didn't answer my question!) so wanted to see if anyone else knows how to process the below scenario.

If we have an apprentice who has received support for LSF during a month and the date of receiving the support/spend can be evidenced e.g. for 15/04/2025 but the apprentice then starts a break in learning before the last day of April (e.g. on 28/04/2025) and so is not on programme on the ILR date required to generate the £150 monthly claim value for April (and for which the actual spend was over £150 leading to an EAS claim also being needed) are we able to claim the full amount in the EAS linked to the month of April, as we have incurred the spend and given the support to the apprentice in that month and do we need to retain additional evidence to support the EAS claim as there would not be a corresponding £150 monthly claim value, as the break in learning would prevent this being claimed in the ILR?

Currently we are not claiming anything as cannot see how we can make the claim and meet the rules of the below.

If one-off costs are more than £150 in a month, claim the additional amount through the earnings adjustment statement, alongside the monthly fixed amount.

Example

You buy a specialised laptop that costs £1,000, which a learner will use for the duration of the apprenticeship.

You can claim for one month’s learning support, which is the £150 fixed amount.

You can also claim £850 through the earnings adjustment statement.

You cannot claim further monthly learning support claims for this piece of equipment.

This ensures that you:

  • are reimbursed the full cost
  • will not be affected if the apprentice withdraws early from the programme

Hi Sarah

Yes, just bung the full lot through on the EAS, you've spent the money and it's not being generated by the ILR, so that's what you need to do. You wouldn't need any more evidence than any other EAS claim but you can only claim *actual* based on your spend, not the flat £150.

Happens quite a bit in Adult Classroom, due to short courses, so it's perfectly usual.
