Trip Registers

Hello,
I may be overthinking this, we are looking at implementing a trip register policy to ensure we stay compliant with DfE rules for planned hours.
For example, if learners are spending a day off their normal timetable to attend a trip, we leave the plan in place and use a neutral mark to signify that they are not required to attend their normal timetable.
We then set up a trip register for learners that are attending the trip and those not attending a trip will either attend an alternative session or their class will be cancelled with work given to them to complete.
I have been exploring a way of recording all of this information on registers.
If a learner is attending a trip in place of their usual timetable, should they just be marked at present on their normal timetable, or is setting up a new register the best practice?
