Hi All, 

When collecting learner data for the ILR we have our 'ILR form' - this includes the Privacy notice, and we collect a learners personal data on it. Other information is collected on the ILP paperwork (i.e. Start and end date/apprenticeship qualification codes/commitment statements/programme duration/PED/EPA info).

I am wanting to update our form, to create one for continuing learners where they progress to a new learning programme after achieving, yet I cannot find any guidance or reference to creating an ILR data collection form. There is also no longer a template (that i can find), but I recall one in which you were required to complete the status codes for BIL,  and create a new one when the learner restarted. Or upon completion it was updated with the completion code and outcome.  

In the past I understood that on the 'hard copy' form we would record outcomes and learner status codes, we would also complete a new form each time the learner was suspended and re-started. We currently do not do this, as records are electronic - we update the ILR on the Yeti system, to submit for return. (We complete the necessary agreements for BIL/withdrawal/completion). We record BIL agreements on separate forms, and restarts on restart interview forms. (If learner details have not changed then we do not require them to re-submit all their personal data that we currently hold.) 

Please can someone confirm

1) Is there a template of an ILR data collection form? - where can I find it?

2) Providing all personal information hasn't changed learners need only confirm no change. (i.e ILR for progressing learners)

2) MUST the 'hard copy' form include a record of the status and outcome? (usually evidenced in portfolio sign off and exam results etc)

3) Must a new ILR form (Hard copy) be completed upon return from a BIL? 

As everyone has bespoke versions of their paperwork, it's hard to establish exactly what paperwork we need to collect and keep 'hard' copies of when everything is digitalised.  I want to ensure our processes are streamlined and documented compliantly.

I think the last official template was about 6/7 years ago? And even that was done very bregrudgingly...

Essentially, if you have appropriate systems to show the agreement of learners/employers/staff to any change you don't need "hard copies" of anything (with the possible exception of the Apprenticeship Agreement)...
