Apprenticeship service - employer provider cohort approval issue

We are a new employer provider and have sent our cohorts through from the training provider side of the Apprenticeship Service to the employer side of the AS - the employer side can approve them but when they get sent back to us as the provider the loop starts again on the system to send them back to the employer to review. We have signed the ESFA agreement. Have any other employer providers had this problem and found a fix?

Hi Ella - we haven't seen this problem and seems odd.The only thing I can think of is, have you approved on both sides of the process (TP and Employer accounts).

When you sent the initial request from the TP account did you choose the "Approve and send to employer for approval" or the "Send to employer to review or add details" option?

If you chose the latter then the record hasn't been approved on the TP side, so once it comes back from the employer you would be asked to approve.

Hi Steven, thanks for your reply. That's interesting as on the TP side we only have the 'send to employer to review or add details' option or 'save and don't send', there is the 'continue to approval' button but once clicked on that there is no final 'approval' button only the send and review or save buttons again which may be the issue. The only thing that looks like it might be impacting that is the ESFA agreement box that comes up but when we click on this it shows we have signed the agreement so not sure what else to try!

Hi Ella - in that case you might want to check that all of the fields are complete on the cohort you are wanting to send for approval.

I believe from memory, if the ULN is missing for example, you can still send to the employer to review but you can't approve and send. You can't approve on the TP side until all of the fields are completed.

Thanks Steven, I have triple checked and all records are complete and that is how they are showing on both sides of the Apprenticeship Service. Any other suggestions? In the meantime we have a ticket pending with the helpdesk.

Hi Ella - sorry no further suggestions, it sounds like it is something to do with the ESFA agreement if that keeps popping up.

I guessing you have the checked agreements the Employer account in case there is a pending updated agreement to be signed? When I look at our account I can see we have had a few versions , three in fact since January 2020.

Just wondered if above when you said you had clicked on it and it shows as signed, whether that is showing that you do currently have a signed agreement, but not necesarily the latest version that might be pending?

Clutching at straws a little now, but there is something in the back of my mind that out last agreement update wasn't made obvious and was unsigned for a few weeks.

Thanks Steven - all agreements have been checked and updated so don't think that's the issue. Not sure what else could be going on so hopefully get a reply from helpdesk tech team soon...
