The hybrid end year for standards is the later of the planned end date, Achievement date or the year it is reported.
The gateway date or learning end date is not included in the hybrid end year calculation.
As the completion payment is earned on completion by the date in the achievement date field (pass or fail) the hybrid end year in your example for EPA completed Dec 2020 would be 20/21 unless the planned end date was later then it would be recorded in a later year in the QAR.
Thank you for your reply!
I thought that the Gateway date paid the 20% success payment and halted the 20%otj by providing a learning end date? This would then indicate that there is an end date of some description in 19/20 and then a formal EPA end date in 20/21. Can I quote a gateway date from the last academic year without losing success?
Sorry, these 'rules' just don't go in sometimes!
It’s all down to terminology the Actual end date is the last day of training and recorded in the ILR as such, the gateway date may be later or the same but is not recorded on the ILR.
Completion is recorded when the EPAO informs you the EPA is complete, and this is recorded in the ILR as the achievement date and this triggers payment of the completion payment.
Thank you to both of you so much for your reply. It is so reassuring that there is help out there! So to clarify....
Start date: Start date of apprenticeship evidenced by learning
Practical start date: Start date of any delivery of knowledge, skills or behaviours
Practical end date: End date of any delivery of knowledge, skills or behaviours
Actual End date: End of all learning, end of 20% otj hours (how is this evidenced?)
Gateway date: Start of the Gateway (has to be on or after actual end date), evidenced with Gateway declaration
Achievement Date: Date of Successful EPA, evidenced with EPAO confirmation
Is this right?!
The definitions depend on what you are referencing it against the Apprenticeship Agreement, ILR or your internal MI system.
Start Date
On the Apprenticeship Agreement this the date the employee is employed as an Apprentice and this can be on or before the start of Training (the employer could have a probationary period before the Apprentice commences training).
On the ILR it is the start of the Practical Period when training commences.
Practical Period Start and End Dates:
On the Apprenticeship Agreement these are the expected dates for training.
On the ILR these are recorded as the Start and Planned end dates
Actual End Date
Recorded on the ILR at the end of the Practical Period has been completed with the last day in training.
Gateway Date
As your definition
Achievement Date
Date of completion of EPA, evidenced by EPAO confirmation that the EPA has been completed together with the results pass or fail.

Gateway Date v Hybrid end year
Created
If a Gateway date is entered too late and the hybrid end year has already passed, what happens to this completion?
i.e Gateway date 12/6/20 but not entered until Dec 2020 followed by EPA also in Dec 2020....
Is this 'lost' success and achievement payment or is the achievement counted in 2021 as that is when the EPA is?
Hope I have explained correctly!
