Hi, Please can we have some guidance to check our OTJ calculations are correct:

Hours per wk learner works         = 40

Programme duration                    = 60.83 weeks

Annual leave                                = 5.8 weeks (12 months is 5.6, we calculated that 14 months is 5.8 weeks)  

Number of wks in programme      = 60

You must use the same duration for programme duration and number of weeks on programme.

Holiday entitlement is 28 days per 365 days the additional 8.83 weeks would attract an additional 4.75 days (62/365) X 28 = 32.75 days or 6.55 weeks or 262 hours.

Total hrs 2440 less holiday entitlement 262 = 2177 hrs x 20% = 435.4 hrs OTJT min required.

Your point re using the same programme duration and number of weeks on the programme noted.

Please can you advise how you calculated:

- the figure of 62? Our programme example above is based on 14 months = 60.83 weeks.

- 8.83 weeks - is this based on 4.345 weeks in the year?

Is there a calculator available that can work this out for providers ?

Calculating off-the-job training

From the apprentice’s normal working hours the apprentice’s statutory leave entitlement must be deducted and from this 20% represents the minimum requirement for OTJ training.

Your problem is using 60.83 weeks in your calculation as this does not compute to a whole amount in working days and cannot be correct, you cannot work in months in the same calculation.

The first part of the calculation (normal working hours) requires the duration in weeks and hours per week = 60 X 40 = 2400

The next part is the statutory holiday entitlement (28 days per year) and to get the pro-rata amount for 60 weeks duration 60/52= 1.15384 x 5.6 =6.46 weeks at 40 hrs per week = 258 hrs.

2400 – 258 = 2102 X 20% = 428 minimum hours OTJ.
