OTJ Input Error

We had a member of staff in charge of our apprenticeship department who has now left the company.

During the time he was with us, he completed the learner paperwork at induction stage with the employer and apprentice. I am completing an Audit of the files he put together and have noticed he has calculated the OTJ requirement for a number of learners incorrectly.

All of our learners OTJ is also recorded on Onefile (correctly) this is how I picked up the error.

Am I able to correct this on the LMS so it matches the OTJ calculation on Onefile?

Hi Joanne,

When I contacted the ESFA about a similar issue, they told me to update the ILR to make it correct and document it on our PDSATs if this learner was on the new OTJ reports in there.

OTJ hours (Phours) should be based on the individualised contract hours and duration of the specific learner as recorded on the commitment statement and Apprenticeship agreement, the guidance is ‘Data in this field should not be amended. The exception to this is if you are correcting a recording error’.

As Mel has said this should be corrected where DSAT reports that the hours entered are less than the minimum 20% as this reflects an invalid Apprenticeship but it should not be changed in the ILR once entered for any other reason although it can be amended on the commitment statement to reflect any change during the programme.
