We have a process where learners enter their details on a online website which inports into our student records system, this then converts all info into a pdf learning agreement which looks like a traditional enrolment form.
What funding system are you refering to as id imagine you'd need something
The setup you have is exactly the same as yours, except for the converting to a learning agreement PDF. That does appear to be an obvious way to produce a learning agreement from original data. We do keep the original submission data, just been discussing how best to produce an Audit-compliant document.
In regards to funding streams, we deal with all of them, but they all use the same type of form (except for Apprenticeships).
Have you had an Audit at all whilst using these electronic documents, and if so, did they make any comments on your process?

Evidencing Digital Enrolments for Audit

When it comes to providing evidence for Auditors regarding digital applications for enrolments, are there any specific guidance that must be followed - i.e. detailing of actual evidence of digital enrolment? I have found guidance on digital signatures, but nothing on how to evidence an electronic enrolment form, or what to present them with. We keep original data submissions from the learner's application, but is there any guidance on how they should be formatted, etc?
