Change of employer past planned end date on DAS

Created

I have a learner who is past the planned end date but still on program.  They have now changed employer.  How do I change the employer on the apprenticeship service?  The training end date has to be after the training start date but how do I change this if the planned end date has already passed?  For example planned end date is December 2021, new employment starts January 2021.  The training end date has already passed as it's December 2021.  Has anyone come across this issue?  Thanks.

As the Apprentice is still in learning but passed their planned end date you will still have 20% of the total funding remaining but are you processing this as a change of employer within 30 days or a withdrawal and restart.

For a withdrawal and restart you would set the start date in Jan 2021 and set the planned end date for the duration of training still to be delivered and the remaining funding will again be split 80% over the training period with 20% held back for completion.

This is not a withdrawal/restart.  I'm processing this as a change of employer. It's the apprenticeship service issue that I'm unsure about.

See the guidance for recording a change of employer on DAS which allows for the training provider will declare the month in which the apprentice moved to the new employer, the new training planned end month and the remaining costs of training and assessment.

Record a change of employer – Apprenticeship Service Support (education.gov.uk)

Thanks Martin. In terms of ILR, there is only the 20% (TNP 4) funding remaining.  I add a TNP 4 for the 20% funding for the whole EPA amount and not split this into TNP 3 and TNP 4, is that correct?

The guidance is:  You must record a new price record on the programme aim; this price must reflect the cost of the remaining amount of the programme to be delivered with the new employer. This residual cost must be recording using AFinCode = 3 for training and AFinCode = 4 for assessment, as applicable.

As 20% of funding remains you would split this TNP 4 = the EPA cost and TNP 3 = the 20% remaining less the TNP 4, if the EPA costs are the 20% remaining although I have not come across this before I believe you should enter TNP 3 as 0.

As on programme payments stop at the planned end date the TNP 3 amount will also be held back together with the TNP 4 amount until the Programme is completed.

Thanks Martin.  Very helpful.

hi Martin

Can a learner be transferred to new training provider if:

  • they have gone passed their planned end date?
  • they are in gateway?
