Apprentice at Gateway - withdraws

Hi

We had an apprentice that was put to Gateway July (last academic year) they are a late notified leaver so need to be withdrawn how do I code it in this year?

The same way you would have coded it last year. The fact it is late is regrettable, but your primary responsibility is to record the reality of what has happened, in accordance with principle 1 of the data management principles:

When a learner withdraws, the programme aim (where applicable) and any learning aims should be closed.

Recording a withdrawn learner who has no intention to return.

  • Employment outcome field is returned if applicable.

  • Completion status field must be code 3.

  • Learning actual end date is the date of last learning activity for the aim.

  • Use a relevant code for the Withdrawal reason field.

  • Outcome must be code 3.

  • Outcome grade data is not returned

The only issue is that R14 has closed and their end date is in last year, if I change it won't it cause an error.  If I don't change it it won't show as withdrawn just  8 learning activities are complete but the outcome is unknown.

Hi Annabel - the apprentices record needs to be forced for inclusion in your next ILR submission for 22/23 for the changes to be registered everywhere that's necessary.  Your ILR software should provide an option against both learning aims to force inclusion.

What ILR software do you use?  just wondering if it's the same as ours and how to do this?

You should record and submit the data in this year's ILR, regardless of whether the end date was prior to 31/07/22. Yes, you will be 'penalised' for it when it comes to things like FRM27, but it reflects the reality of the situation which is the primary aim. It shouldn't error at point of entry, nor should it error on your ILR reports, but as TK points out it might depend on your software configuration. I've used Maytas, the ILR entry tool, and an in-house system in the past, and have been able to make these kinds of changes without an issue.
