Hiya, where I've got to reading the new 25/26 rules is when looking at a random Apprenticeship Standard - Team leader / Institute for Apprenticeships and Technical Education This apprenticeship has a "typical duration to gateway" of 15 months. Therefore, if I have a new start in 25/26 who goes to gateway early such as 11 months and 16 days. They have worked harder than the "norm" but looks like we won't get the 2nd provider/employer incentive since they haven't met the 365 day mark (must be looking at Start Date vs Actual End Date & also typical duration of the STD) Whereas if the "typical duration to gateway" was 9 months & they achieved in 11 months and 16 days, we would get it paid the 2nd incentive at the 8 month mark (242 days) Does seem like the over-achievers would be getting penalised with this calculation, I would have expected to read "if the apprentice is on an apprenticeship standard where the published typical duration is 12 months or more, but they withdraw or transfer from their apprenticeship in less than 12 months, then this final instalment will not be made) - which is what happens anyway. I'm hoping we will eventfully get a list of all Apprenticeship Standards, Version, Maximum Funding Band, LARS Code, Typical Duration to Gateway (etc) to have a central place to look to make this easier?

Hi Sarah, Nobody has tried to tackle this one yet, so I'll give it ago! Unfortunately the guidance isn't very clear on how this works so this is more of an educated guess looking at our toolkit, so you may want to put in a helpdesk request to confirm the actual calculation. When calculating A Level programme weighting - firstly your Core Aim will be looked at to gather if your learner is an Academic/Vocational since it is possible for learners to do a hybrid of 2x A Levels alongside a Cert/Diploma as a hybrid. Once the student is identified to be academic, they will lookup via the Qualifications affected by programme cost weighting changes - GOV.UK to see if any of the academic qualification aims are on this list which have met the qualifying period & if the learner has 2+ eligible qualifications you will get the 1.13 programme weighting if you don't you will continue to get the 1.0 programme weighting. I expect your A Level subjects have equal hours so you have the free choice to pick which A Level subject to choose. I expect you already do this but worth mentioning where these A Levels core aims could be picked at "random" it's tempting to get some script/SQL to pick one at random & leave it but it's important to know the Core Aim also impacts your retention factor also so as an end of year task for our A Levels we make sure the Core Aim is on something not transferred/withdrawn where they have other substantial completed/continuing aims & for full withdrawals we make sure the enrolment with the latest "end date" is picked so we can maximise the last working day of June element. Overall to answer your question before going off on my tangent - I believe you can pick any of these subjects but for peace of mind I'd probably not pick the A Level Maths because that's not on the A Level PCW list but the other two subjects are.

Hi Sarah, To carry on from what Steve has said near R14, I re-look through my Core Aims to spot anything that could influence our retention factor.  Right now you may have a hybrid vocational/a level learner who are on all 2-year courses. Diploma Performing Arts Vocational -175 hours - last day of attendance 24/06/2025  A Level Biology - 175 hours - last day of attendance 04/07/2025 A Level Music - 175 hours - last day of attendance - 28/06/2025 'When students are on a 2 year programme and they complete the first year, they  will be counted as retained in that academic year. We define completing the first year as being in learning on the last working day in June.' Therefore in the scenario above, I would be changing the Core Aim from the weighted vocational course, to the A Level Biology to maximise the retention factor because it will give you more funding.  In addition, if you have any programmes which have 1-year certificates alongside 2-year a levels & the learner withdraws from all on 24/06/2025 but the certificate is "completed" I would change my Core Aim to this.  * We keep our planned hours for these 'A Level Equivalent' subjects the same as an A Level. It fits in better with timetabling but in scenarios like this, where courses are of equal hours, you can find yourself in a position to increase your uplifts with the same data-set.  I have heard people recommend picking a Core Aim that reflects the study programme total so in my example above pick one of the A Levels because the majority of hours are A Level driven. I'm not sure if this is a thing? Never has come up in audit for me & isn't in the funding guidance?

To add to this, completely agree with Ruth 100% The scenario I get myself twisted where planned delivery hasn't happened for example: Scenario 1:  Level 3 Animal Management - 520 hours - L.D.A - 14/12/24 - Ok claiming for full 520 Tutorial - 34 Hours - L.D.A 09/12/24 - Ok claiming for full 34 hours Work Experience - 30 hours - Never started or organised yet. This co-hort has their planned work experience time in March 25 is this a non-start and therefore hours shouldn't be recorded. Or do we justify that the learner would have done it if they didn't withdraw & we shouldn't be penalised so leave the learner as 584 & not reduce down to 554 Level 3 Animal Management - 520 hours -  Student completed & achieves - Ok claiming for full 520 Tutorial - 34 Hours - Student completed & achieves - Ok claiming for full 34 hours Work Experience - 30 hours - This co-hort went out in March 25 and 48/50 students went out & are ok. The two learners that didn't go out, would you non-start their work experience if a "replacement" of 30 hours isn't delivered to drop them down to Band 4?  I appreciate we aren't expected to go down the "actual" hours route & then you have things in the rules with discretions for full time BTEC's, 5 GCSE's, 3 or more AS/A2's where they expect to be paying you the Band 5 rate...
