Employer Contribution Refunds

Hi all,

 

Currently covering a role and I was wondering if there were any clever mechanisms / processes for finding out which learners are due a refund for their employer contribution? I could just get a list of leavers for the month and manually work it out but that seems to leave a lot of room for error and be quite time consuming.

I've had a look at the co-investment spreadsheet but the figures don't always match the payment records in the ILR - perhaps because they were in previous funding years? So I'm not sure that can be used to calculate..

We have a process where all withdrawals of apprenticeships get checked as they come through. We have a spreadsheet where you enter all the data and it calculates a refund (rounded down to nearest pound). It doesn't work if they changed employer though. Otherwise, we just look for all rows on the co-investment report where the "Percentage of co-investment collected (for all funding years)" is above 0, then see which of those are withdrawn (annoyingly no completion status in this report). Those are the ones that likely need a refund. Small amounts above 0 we don't really worry about, they could be rounding differences. That percentage figure should be correct.
