Hi all,

Can I just sense check around recording outcomes following a resit, please?

We have a learner or two that unfortunately failed their EPA, but  going to resit. My question is, if they do not receive a result/grade from their resit until after R14 has closed, how do you update the outcome and achievement date?

Is it simply a case of amending the existing fields and if it is, does that impact QAR or do we have until R04 for outcomes to be updated?

Hope I've explained that clear enough, it's muddled enough already in my own head!

The final QAR would include records from R04 ILR return of 2023 to 2024.

Where a learner has failed and is resitting the EPA during the EPA period as defined in the standard assessment plan (typical example: If any element of the end point assessment is failed, three re-takes can be taken over a six-month period from first date of end point assessment. No cap on grading will be placed on apprentices who need to retake).

There are two lines of thought on how you record this in the ILR one from the PSM and one from previous advice from the ESFA, but I tend to go with the current guidance from the PSM.

1.Provider Support guidance.

In order to be recorded as ‘Completed’ (Completion status code 2), both the training and end point assessment activities for the programme must be completed.

  1. Previous ESFA guidance

If a learner fails EPA and achieves on resit only, then the outcome only can be amended to show that they have now achieved. No other fields are to be amended and a new aim is not required.

It depends on which of the above guidance you have followed where this is 2 and at R14 you would need to migrate the record manual to 23/24 but you would only amend the outcome and not the achievement date, where you have followed the guidance in the PSM you would not have any issue.

This all depends on how the definition of "completed" in PSM is understood. My correspondence with ESFA a couple of years ago led me to believe that they think it isn't "completed" until the learner stops doing it, so we don't set learner to 2 until they've finished their final resit and that is the date that goes in the AchDate field. Obviously, if this is post-1 August the learner will be in next year's QAR, not this.
