Can someone help me please? How do we record the co-investment payment for completion if we do not receive it by R14?

If the apprentice's achievement date was in 22/23, and you don't record enough PMR employer co-investment to cover 5% of the whole price before R14 closes, I don't think you'll ever be able to get the completion payment. I'm pretty sure you can only get paid in the funding year in which the payment was due. Completion payments become due in the month in which the achievement date sits. You can still get paid in September for an achievement from June, if you can get enough PMR by September.

So, chase up your payments for anyone who achieved in 22/23! We actually have it in our contract that we can invoice the employer for lost funding if it was the result of them not paying us the co-investment on time, though we've never had to do that. We mostly invoice the entire 5% up front, and by exception we allow instalments, but only for up to 12 months. We'd rather do a few refunds than be constantly chasing up lots of small payments.

Ideally, don't let that happen. If you want to, you can rollover the whole apprenticeship into 23/24, and record the PMR on that record, but it won't trigger any funding as I understand it. I'd be inclined to give it a go and see if it does trigger any payments. If not, I'd probably just delete the 23/24 record, and record the PMR in our own database in 22/23, knowing it was never sent in an ILR.

Have you got reason to believe right now that an employer won't be paying you until after early October? That seems a long time in advance. If you're talking about an achievement from 21/22 that was paid for late, same thing, give it a go, but you've now only got R12 and R13 to test it in.

Ruth Canham-James I was going to post a similar question - we have an apprentice who achieved May and I'd chased the employer for payment prior and after this date.  We have received payment in August, so what date can we record for payment record?  I may be wrong, but if this is recorded as August we won't receive the completion payment.

The date you receive the payment shouldn't matter, as long as you report it in the 22/23 ILR. You've got the R13 to test it in now before it's too late :)

I was under the impression that if I record it with the date we received, ie Aug 23, then this won't get picked up for 22/23 as anything dated  after 31/7/23 would be ignored for 22/23 ILR?

I really don't know! Test it in R13 and see what happens. You can always change the date back to July before R14 if it doesn't work.
