I'd check if you've definitely received the completion payment before doing anything. It normally does not change to 'completed' until the payment has been made to the provider.
If you have, there's no reason they couldn't just close it, but I'd probably suggest they speak to the ESFA first. Someone on the online webchat will be able to help.

Do you know if that's the case if the completion element wasn't released because of under-collection of PMR? That would make sense as they'd leave it open on the assumption that you'll collect the missing PMR soon. If the year then closes, I guess it would never shut the DAS record.
I would strongly suspect so, yes. All the possible reasons for non-payment would feed into a binary Y/N to the question of "payment made?" which then dictates whether the status is changed to completed or remains live.
Just to keep people updated on this. We use PICS for our ILR and they are currently looking into a reporting issue on their side as they can see the Co-Investment payments being marked as PAID but for some reason this hasn't reported to the ESFA and therefor not drawn down the completion payment.
The same has happened to us. Completion payments have been missed because PICS didn't report the data.
These completed learners are still showing on DAS as LIVE including from previous academic years which causes the DAS data to be inaccurate and unreliable when checking actual live learners. I would suggest the ESFA to update the DAS system to show those learners as completed but in a different colour or to show as Finished/Terminated, to make a distinction but also make the data more accurate and reliable for us training providers.

DAS Learner still showing LIVE

We have had an employer contact us as an apprentice that completed and passed back in May 2022 is still showing as LIVE on their DAS Cohort. I have checked all the reporting and it was processed correctly as a completed pass in the ILR. Would the employer be ok to just cancel the cohort on their DAS account or would they need to leave it until it updates to completed? I am not to sure if this is a common issue but its the first time I have come across this before. Thanks in advance Joe
