I'm afraid, if you didn't get the DAS sorted in time, that's exactly what you have to report 🙁 You cannot count any OTJ done in that time. So, you either really do have to start from scratch in June following the full duration and OTJ (not really true), or you record that they had Prior KSB, give a shorter duration and less OTJ, but also have to cut the price accordingly.
The most accurate thing would be to record an unfunded apprenticeship from 26/09/23 to 31/05/24, then record a funded apprenticeship from 01/06/2024, but the duration would be reduced by 9 months (keep the original Planned End Date), and you'd have to cut the price accordingly to account for the 9 months of prior learning.
Hi Ruth,
Thank you for your reply. Yes I have done as you instructed, end date as 31st May and reduced the training price accordingly. Thank you for mentioning OTJ hours as I did not think of this.
Does that mean the Dlock_09 refers to the period up to 31st of May only and we will get the funding June onwards?
The end date of July 24 should be on the unfunded enrolment, which won't have a price. The price reduction should be on the enrolment starting in June 2024 (and ending wherever you originally planned to end).
You will only get funding from June onwards. You basically lose all money for anything you delivered in those 9 months. If it was the employers fault, you could try invoicing them for the funding you lost. We have that built into our contracts so they have to pay if they don't do something they should have. We also keep a very close eye on these, and any non-levy employer who hasn't sorted their DAS in the required timescales, we just stop delivery. We'll have given them lots of reminders first, as we don't want to do that to the apprentices, but we also don't want to lose money.

DLock_09 fix
Edited
We have an apprentice who started on 26.09.23 but was not added to DAS until Jun 24, therefore the start date doesn't match. We cannot amend the DAS as it cannot be backdated so to fix the error and start getting the funding (we've lost a year worth of funding) we need to match the ILR with DAS.
I managed to find some instructions to fix the error:
I have tried this and it's fixed the error. However, I'm reporting the apprentice starting and finishing on 26.09.2023 and restarting him again on 1st June 2024. This is not accurate as I'm reporting this apprentice as not learning between September and June which is incorrect.
I was hoping I could withdraw them on 31st May and restart them from 1st June but that was still returning a DLOCK_09 error as the DAS date was compared with apprentice's first record/pot not the second starting on 1st June.
Can anyone suggest what to do in this case to fix this error and ensure the data I'm returning is accurate?
It's a non levy paying employer (small) if that is also relevant
