Outcome_11 error

I have data recorded for some apprentices who achieved their main component aims but are awaiting their EPA. I have recorded ZPROG001 as code 1 continuing and code 8 - learning activities are complete but the outcome is not yet known. The main component aim is recorded as code 2 completed and 1 achieved with a learning actual end date. The ZPROG001 learning actual end date and achievement dates are currently both not reported.

I have recorded data like this for quite a while without any errors or warnings. Last month I had 5 apprentices reported as errors, I raised a query via the helpdesk but the response was not helpful and seemed to contradict the ILR specification data entry options which allows code 8.

By the submission deadline the errors hade been changed to warnings so I assumed the error had been switched on by mistake.

Some apprentices have completed fully since then but I still have some in this position and the error has come back again for R07.

The achievement date for the main component aim has crossed a hard close so I don't think I can take the date out anyway as assume this would cause other errors.

You definitely need an Actual End Date on the Prog Aim if you set it to 1&8 (ie learner has gone to Gateway). It should be their last day of learning (probably the same as the ActEndDate on the component aim). Not to contradict you, but there's no way you can have recorded someone 1&8 without an Actual End Date...

Also, there's no such thing as AchDate on component aims, AchDate is *only* used on the Prog Aim.

Steve beat me to this by 38 seconds, but I'll leave my reply as it's got some different detail 😊

The error message for that is "If an outcome code has been returned an actual end date must be returned", which matches what the PSM Guidance says:

When the training period for the apprenticeship standard is complete, but the end point assessment period is incomplete, the Outcome must be recorded as code 8 ‘Learning activities are complete but the outcome is not yet known’. Where the Outcome is recorded as code ‘8’, the learning actual end date must also recorded, as all learning activities have taken place.

You just need to add an Actual End Date.

A student can still be continuing with other OTJ activity after the component aim (if there is a regulated one) is finished, in which case Outcome is blank until they finish OTJ/get to gateway.
