Hi all,
I am really struggling to get my head around some of the QAR data.
The bit causing me the biggest issue is the year a withdrawal is counted in your data. Learners are appearing on my QAR reports that we withdrew in the 23/24 academic year, their practical period end dates were in the 24/25 academic year. Do I include these as leavers in this year even though I withdrew them last year. It is this bit I am struggling to get my head around
The overall QAR, pass rate and retention rate calculations use the hybrid end year of the learning aim. The hybrid end year is the later of the:
• achievement year (for apprenticeship standards on funding model 36 only)
• planned end year of the learning aim
• actual end year of the learning aim
• reporting year
The above makes me think that the later of these would be the planned end year / reporting year which would mean they would class in this years 24/25 withdrawal/leavers data? When in fact I withdrew them last academic year?!
As you can see this is muddling my brain no end, maybe I just need some sleep!
I would be really grateful for some insight, and if anyone can recommend some training in this area I would love to know about it.

It is the later of the 2 dates. So if the planned end is 24/25, even if you withdrew them in 23/24, they count as leavers in 24/25. It works the other way too, if the planned end is 23/24 but you withdrawn in 24/25 they count as leavers in 24/25.
Me again, is this the case for completers as well, if they finish in the 24/25 but have a end year date of 25/26 they won't count as a completer until the 25/26 data?
The year in which a learner is counted for QAR is always based on the latest of the various aim dates (planned end/actual end/achievement/reported). Their final status only affects whether or not they are counted as an achiever.
