FRM37 issues - Is there a way to correct them?

Hi All,

It's the usual issues around FRM37, which I know has several posts already, but I couldn't quite find the right answer in amongst those posts, so thought I would pose the question, as to how everyone deals with these issues?

We have several learners that are out by around 5 hours, due to the 'rounding up' issue, where we had calculated them as 208 weeks (1114 OTJ), but due to the start and end dates actually being something like 208 weeks and 4 days, this got rounded up to 209 weeks, and therefore the OTJ increased to 1119 hours.

Our DfE account manager brought this up during a meeting, so we have explained the reason why this happened, and when we consulted the Helpdesk to see how to address this issue, we were basically told, that since the hours had been agreed and recorded they could not be amended or changed, so we also passed this information to our accounts manager as well.

We have a copy of the email from Helpdesk in our evidence pack, if ever questioned about them, and our support for our ILR system has suggested to include a note on our comms section for each learner affected

The question I would like to pose is whether anyone has found a way to correct them? I thought the whole point of R14 returns was to correct any administrative errors from that financial year to remove such errors, by amended the number of hours for example, but from the guidance given by Helpdesk suggests not?

Of course you can correct you planned OTJ hours if they started in an open academic year! You're always allowed to correct admin errors in the ILR. Weird that they said no. You'd need to update all the paperwork to match, and get everyone to agree. The Training Plan would need to be clear where those hours are being delivered.

You should be running the FRM reports monthly and resolving issues, so you shouldn't have any that started before 24/25. Even if you did, I still think I'd just change the OTJ between years, I don't think it would break anything.

Ruth Canham-James thank you for that. I agree that it was a bizarre thing for Helpdesk to state, when as stated, they are faults created this open year, so seemed bizarre that we couldn't correct them.

Fantastic, I will get these changed prior to filing my R14 return!
