Incorrect Apprenticeship Component Aim in Previous Year

Created

None

Hi all,

We've discovered some component aims that were incorrect in previous years that we need to correct in this year, but I'm just after best practice for doing this.  Initial thoughts are either:

1. Transfer on 1st August 2025 to new course code with correct aim.

2. Withdraw component aim back to start date and add new course code with correct aim, with original start date matching programme aim.

My overthinking brain says there's pros and cons to each method, and if memory serves I think we've been pulled up at audit before for transferring component aims.

Any advice very much appreciated.

It's different per circumstance, but most scenarios can be found here in the PSM.

That says incorrect aim correction is option 2 in your list. Since the components aren't funded unless they're E&M, that shouldn't cause any problems. If it's E&M, I think you can get FRM27 clawback, but you don't then earn that back on the new aim.

Yeah, would be sorely tempted to leave any E&M ones if they're "correct level, wrong AO" because they're only really there to generate the £724 (and I've never met an auditor who would spot/care if the results were from C&G rather than Pearson or whoever). But, as Ruth says, any other component aims, back to start and add the new one (you don't need Original Start Date though, it's not a restart).

Many thanks both.  Thankfully it's not E&M so will go with option 2 with a good level of confidence.

Yes, if it were E&M, you could transfer them at the start of the current year and say it was a change of plan at that point. Who would be able to prove otherwise? Our Exams team would never allow me to leave it as CG in the ILR but claim Pearson! 😂 Everything is all very precise and carefully linked, it would explode their processes.

In our MIS system (ProSolution), we have to tick an "attended one day" box to make it stay in the ILR, as withdrawals with the same start and end date get auto excluded from the ILR unless we do that. Not sure if other systems do the same.
