ILR reconciliation Report and Pellcomp Pics

Hi, fairly new to ILR submissions: we use Pics for data management and submission. Once submitted like most I guess we receive reconciliation data whihc we feed back into Pics. We get FM36 Actual Payment Reconcilliation report; which shows (amongst other things) Value Differences, see below for an example of what I am receiving. Could anyone explain what this is telling me please? This learners start date on TL/S Approenticeship was 22/9/20 for full funding band of £4,500. My TNP 1 & 2 are accurate. Any pointers would be welcome for me to check out? Thanks

Hi Neville, 

With the PICS reconciliation report you are better looking at the YTD differences tab rather than the individual differences as this can be quite big depending on how many apprentices you have and ends up as a matching game with other tabs, this to me seems to suggest that you have submitted you start late (or possibly DAS was approved late) and PICS is putting the payments into individual months they should have been due rather than acknowledging you have received four payments in period 6. 

If you look at PICS not ESFA and ESFA not PICS tabs you should find that overall you have been paid what you were due, it is likely to have on your PICS not ESFA tab the three missing payments for prior periods, which should total your ESFA value.

Thaks Louise, thats really helpful and just checked what you thought and yes I can see the 3 payments within the Pics not ESFA tab. My Differences YTD tab just has one entry and I know about that; so thanks for your help. 

Is this report a Pics generated one based on the ESFA response from our submitted data at month end...... I would like to know what each of the tabs is telling me or advising me, so do I seek clarification (training/advice) from Pellcomp or ESFA do you know?

@... we use PICS and this report, for understanding what it is showing you i would read their help pages and speak to Pellcomp.  I've always found them really helpful, then once you have an understanding of what the reports show you if there are unexplained questions you can contact the service desk and put the questions to them directly.  We find a lot of our differences are the ESFA finding the learner has prior learning so they take funding from us, you can find this out on the Apps indicative earnings report.

Agree with Christina, Pellcomp should be your first stop for queries with this report and understanding how it works, as she said, if Pellcomp can't tell you why something is out of place then a query to the service desk might help.
