Reducing off the job hours when working hours are reduced

Hello everyone - should OTJ hours be reduced if a student's working hours are also reduced during their apprenticeship? One of our apprentices has gone from 40 to 33 hours which is a considerable drop. I was going to record the new off the job hours in their Apprenticeship Agreement and the ILR, but wanted to make sure this was correct.

P57 Since 1 August 2019 planned off-the-job training hours must also be documented on the individualised learner record. You must not change this figure once submitted (except for a data input error at the beginning of the programme).

To add to Martin's advice.. page 71/72 of the Funding Rules deals with this exact scenario so I'd have a look at that. Essentially, if all parties agree it materially affects the training plan, update documentation but leave ILR alone unless it was a data error.

Whilst that's true Martin, the "early completion" rules (P64 of V5) allow a provider to explain why the volume of OTJ at the end of the app doesn't meet the initial value. In the scenario above, the learner would still have done 20% of their contracted hours, it's just that's less than the initial value.

So, Emily, you don't change the ILR value BUT you can calculate what 20% is across the whole length of the app and work towards that lower number and then get the employer to sign it off as the flow chart below P65 describes.
