Further education (FE) workforce data collection

The FE workforce data collection for the 2020 to 2021 academic year has opened today 12 July 2021. The collection will close on 24 September 2021. 

This will collect data about staff working in FE providers and was outlined in the recent ‘Skills for Jobs’ White paper published in January 2021. 

Guidance on the collection including the specification and provider support manual is published on GOV.UK.

Users will need an Identity and Access Management System (IdAMS) account.

Instructions how to register for idAMs is available on GOV.UK for users who do already have one.

To access the collection Users will need to request a new role ‘Submit Learner Data FE Workforce’ and this will need to approved by the providers super user.

The collection sits on the submit learner data service and will offer two options for returning data.

These will be:

  • an online form which will allow direct entry on staff data
  • uploading an XML file

There is also desktop application which you can use to generate an XML file for upload should they wish to use this option and cannot generate the file from their MIS.

I'm still somewhat confused as to who we include in the return. As the education arm of a large charity (with central support services) I'm unsure where we stop (I'd assume the same applies to Local Authority Adult Ed teams too!)...

Similarly, what about ITPs where the funded work is only a part of their larger commercial offer? Who are they including/excluding?

I realise this return isn't mandatory this year, but I'd like to know where we stand for this time next year.

The web version is quite nice and easy to use, I have just had a play with my details and it was nice and simple.  Populating with the rest of the staff though will take the time :-)

The team have said:

“There is currently no training available for the staff online form, however, this is something we are looking into.

We have worked with providers to make the form as easy to use as possible so we hope you will find the process straightforward, however, if you do make any mistakes when entering your data you are able to amend or delete records.”

We will post responses to the other questions as the team work through them.

The online form is really easy to use, and I have put my details in as a test case. 

I've also created a basic excel form that we are sending staff to complete what they can then I will enter the details into the system with the help of the HR department.

Just to add, I have put my real details in, then been able to change them to other details so I can see the different options.  All is fully changeable at a later time.
