Off-the-job when change of employer

When an apprentice changes employer and works fewer hours (but still more than 30) should we adjust the Planned Off-The-Job hours?

Many thanks

Hi Clair

I think the answer is "no"? I don't think we change the Planned Hours in the ILR ever (short of admin error)? Then we keep evidence for when the Actual Hours are lower and they show up on the PDSAT report.

They'll be different on the new Commitment Statement with the new employer, of course.

Thanks Steve. So if we calculated for first employer based on a 40 hours week Planned OTF of 743, they complete 200 and move to 2nd employer at 37.5 hours (which would have resulted in a 696 total hours), what would be in the commitment statement for new employer shows 743-200 or the new hours that won't match with ILR?  Sorry I am so confused!

Steve Hewitt

Yeah, you've every right to be confused :)

I'd say the new commitment statement should have the new hours on, because that is what the new employer is agreeing to. So work out the OTJ based on the remaining length of the programme and new working hours and just use that lower number (and then attach your calculations as an annex!!!)

Was going to completely agree with Steve, but my desire to mock him has led me to a screeching U-Turn :)

Ah, so then when we report Actual Off The Job we just need to demonstrate that it was 20% for the time spent with each employer despite it being different from the Planned Hours recorded in the ILR?

Steve Hewitt

Exactly Clair!

I am ignoring Dave ;)

Clair Ayling

Am I ignoring him too! You are a superstar Steve, thanks so much!!

Need to get my head around this so I have two more scenarios!

1. An apprentice moves to a new employer with increased hours.

First employer, minimum hours calculated on 30 hours to be say 557 hours, they get halfway through the programme and change employer after logging 200 hours

New employer, minimum hours calculated on 40 hours for remainder to be say 371 hours.

We leave the Planned Hours on ILR at 557 but what do we record on the commitment statement for the new employer?

a) 371

b) 371 plus the shortfall from the first employer (i.e. 557/2=278-200=78) 371+78=449

c) original planned hours 557 less actual hours with first employer i.e 557-200=357

Other than c) all will result in more than Planned Hours being delivered of course but only b) would be 20% of all contracted hours....

Any help appreciated, would be really good to have OTJ nailed!
