If you mean the Actual End Date was in the 20/21 academic year, but not reported in the R14 I'm afraid you've just lost the Completion payments.
As soon as a framework apprentice completes, you should close them down as Completed/Learning activities are complete but the outcome is not yet known, and with an Actual End Date. You shouldn't wait until you get the result. I usually do a chaser to the apprenticeship teams before we close R14, making sure any framework apprentices who finished learning in the last academic year have been closed. It's not an issue with Standards, as the completion payment is triggered by the Achievement Date, rather than the Actual End Date.
The completion payments only get paid in the year in which they happened, and if that year is now closed, you don't get paid. However, you shouldn't be excluding these apprentices from your R03 entirely, you do still need to report the completion, even if it happened in last year. Otherwise you have open records in 20/21 with nothing matching in 21/22.
If you make sure you are reporting these all in your 21/22 R03, you could try asking ESFA to see if they could release the Completion payments manually if they were non-levy. If they were levy paying employers, I don't think it's physically possible to now get that money from their levy accounts.
Thanks Ruth, I assumed that might be the case. Unfortunately I think that the late notice was due to misunderstandings about the end of learning vs achievement dates and EQA. When the completion paperwork was completed they have of course correctly put the last day in learning.
But now the 2/8 status is updated (they are still awaiting outcomes) it is removing the learners from the R03 completely because its last year's date. Cause flags on PDSATs as they were assumed continuing and will be expected to be seen on the R03. I'm not sure how I rectify that error/make them appear on R03 showing when they do achieve and did achieve? Any advice is appreciated.
You need to resolve the issue of them not being in the R03. If you're using a purchased MI system, you'll need to speak to whoever makes it. No system should be automatically removing anything from an ILR just because the Actual End Date is in a previous year. We always seem to have enrolments at 2/8 at the end of each academic year, and it's an ILR requirement that we continue to report them the following year. Also, if you have apprentices where some components were closed in previous years, you have to keep reporting all components of that apprenticeship until the whole thing finishes. There are so many reasons to have things in your ILR with an Actual End Date in a previous year.
I only know the system we use, so I'm afraid I'm no help with any other systems or the ILR Data Entry Tool. In our system (ProSolution), we have to actively pull the enrolments into the 21/22 academic year. The ILR only looks at things we've recorded as being in 21/22.

I have several framework learners not reported on the R14 who's end dates are in the previous financial year.
Their completion status was unknown, and their end dates obviously not reported timely due to the hold up.
Is there anything we can do to claim their completions as they are now excluded from the R03 due to their last day in learning end date.
