That's a weird thing to ask for. What's the rule they're using to justify that? You can download/screenshot the xml files from Submit Learner Data to prove exactly what you sent in the final return each month, they're in View Submission History.
If they're talking about when you put it in your own data, that's not really in the ILR proper?
Ruth Canham-James we've asked why they need to see this and their rational is below.
As per point 234 of the rules published by the ESFA, it states the following:
“You must report the employer’s details in the ILR within 60 days of the traineeship start date. The work placement does not need to start within 60 days and can be recorded as a future start date on the ILR.”
Therefore, as part of our audit testing we need to prove that the above has been adhered to. I understand that the ILR documents are quite large, so if you feel there would be a more appropriate way to evidence the above then please do let me know, otherwise we would need to see copies of the ILR’s.
we would need to see evidence of the dates that the details were entered into the ILR for each specific traineeship and corroborate this with the traineeship start dates as per the documents already provided. The most appropriate method to do this would be to provide a copy of the ESFA receipt with the supporting data.
Christina Marfleet I guess it depends how you interpret "You must report the employer’s details in the ILR within 60 days of the traineeship start date". Is that in your own ILR data, or actually submitted to ESFA within 60 days. If you only submit once a month, that's a big difference. If it's submitted to ESFA within 60 days, I'd just do a screenshot of the file name in View Submission History, and give them the whole ILR file with the same file name. They can check through it to make sure the data was there. If it was in your own data, do you have an audit trail?
