Hi I have been advised to do this for the employers who hadn't decided on their EPA. We were advised to put the full price of the apprenticeship into the TNP1 including the EPA cost until EPA was decided. This was so it matched the amount in the DAS. - As it was causing a DLOCK error and stopping us getting paid. The DAS must show the cost of EPA and Training (we have negotiated costs with EPAs and advise employers that the cost of EPA will likely take the total to or above the FBM therefore the cost of the apprenticeship is £6000 - unless they choose a EPA with a different price) We were advised by the ESFA that once the price/EPA was agreed we must change both the TNP1 and TNP2 e.g. unknown EPA original price records: TNP1 = 01/01/2020 £6000 (funding band maximum - to match the estimated total cost reflected in the DAS) TNP2 - Blank/non returned (this creates a warning but not DLOCK) EPA confirmed & new negotiated price records: TNP 1 - 01/01/2021 £6000 (to match DAS) TNP 1 - 01/04/2021 £5,200 TNP2 - 01/04/2021 £800 I was told that we can't change the DAS after so not to put just the training amount in the DAS as the DAS should reflect the total cost of the programme including EPA. So this is fine when we add TNP2 and they go with a EPA that matches the pricing. But what if they go with a EPA that charges less. e.g. 720. Are you saying we then have to have the employer amend the DAS to show total cost of £5920? - is this okay? And if it is over the FBM do they also have to change the DAS to reflect this or does it not matter as it gets curbed at the FBM? Are there permission settings for providers to do this on behalf of the employer - as getting employers to change the DAS could result in months of DLOCKs

Sorry to re-open this topic In the event we have the employers and learners do require a rescheduled duration after BIL. This is due to changes in working patterns and people on site etc due to covid safety implementations. These are also learners who have been on BIL for months on end. - So some need to re-do topics because of changes in the workplace and slight job role changes. Do we have to re submit the OTJH? - And if so do we submit the total for the entire programme, or just the remaining time? e.g. - original programme 12 months - OTJH 450 BIL for 6 months. remaining programme duration 6 months + 2 months due to changes in workplace. new programme duration 8 months = do I calculate the OTJH for 8 months and input that or for 14 months? I assume it's 14 months & I put the start date from the original start? As with a restart with no amended PED.

Has anyone heard anything else. I have non levy companys asking about the 10 cap rule and I cannot find any clarity on this anywhere. If a learner withdraws can they enrol someone new? When learners are active/used can new reserves be requested or only when the 10 learners have completed? Employers want confirmation that they can only have 10 employees on apprenticeships at any one time.

Thanks so much Martin, In addition is it 10 learners on 'reserved funds' or is in 10 total i.e. when they move from 'reserved' to 'active' does that mean you can make a reservation on another 10 people? (I doubt this is the case but I've been asked to confirm). Finally I can't find this in the funding rules, or ILR spec - where should I be looking for the update/guidance?

I'm also having difficulty with the calculation compared to others calculators. Could someone please advise: My calculation is that a learner on a 12 month programme (or 366days) Full time 5 days a week, 30hrs a week contract = 1398 contracted working hours and 280 20% threshold. I have done this by taking 366 - 28days leave = 338 388 - 104 (Non working days/weekends) = 234 working days (30/5)*234 = 1404 hours for the 12 months and 20% = 281min OTJH However the calculators I've seen others using, are calculating it as 52*30 (weeks per year times contract hours) or 6*366 (daily hours times 366 days of the year) If the non working days and the holiday entitlement is not included then you have way over the threshold. But could result in more paperwork later if that isn't met (because the requirement is too high/unrealistic) - so I want to be sure our calculator is working correctly with the above formula and we aren't miscalculating the minimum. I was worried because of the 366 days on programme minimum. As the actual working days per year do not total 366 but the duration of the Apprenticeship is 366 days. Hope that makes sense. Any advice is appreciated.
