What I've found is that learners will be marked completed a within a week of period end (and latest submission with the achievement on there), however I have got one learner still live whose achievement was claimed in R01 and I can't get her progression on. Emma, why would the portfolio not be available to auditors? What do you do with EQA's? We provide logins for such purposes and for transparency, I'd say that's probably the best course of action. On our old system (Onefile) learners complete a log which is verified each month by the tutor. Our new system manages the process, learners complete remote modules which logs hours and attend workshops via zoom, also with hours logged. Coaching/mentoring is captured and learning plans created for other OTJ activities. Sue

I think one of the issues is caused if you have a learner with records with two different subs but in the same contract year. Have you tried adding the previous ID number on the latest record? Sue

Hi Jess Generally, our EPAO works really fast and we get the result within a few days of the last aspect being undertaken. I always use the date of the last aspect (in our case the PD) to be the achievement date. We don't wait for certificates before submitting, we have an email from the EPAO detailing the learner, the date of the PD and the grade so as far as I'm concerned that is enough for an auditor. Sue

Hi Jess You will have your learners registered on the relevant EPAO portal, be that SEPA, ACE360 or some other system. There will be mandatory documents which will need to be submitted via the portal, for example employer and learner declarations, a main qualification if there is one, functional skills certs or exemptions, potentially a reflective statement or self assessment, you get the picture. Once everything has been uploaded, you then formally submit the learner record for Gateway approval. From here, there may be a multiple choice test or situational judgement to be done, which the EPAO should arrange to happen and then possibly a professional discussion, observed assessment or some other form of assessment (sorry, I don't know the standard you refer to so don't know the assessment plan in any detail). When all elements are complete, the EPAO will inform you of the final grade, be that pass or fail. Because of the time it takes from the last date in learning to the EPA result, it will always be more than seven days. Sue

Hi Dan This really depends on the stance your EPAO is taking. Ours decided they wouldn't disadvantage the learner by holding them in limbo, but would proceed and just not issue certificates until we provide evidence of FS achievement. You could try getting a screenshot from your awarding body if the results are visible. I'd be surprised if an EPAO would make learners wait to be honest. Sue

Hi Simon We have literally just done this and moved from learner entry tool to APTEM. It didn't go well, I had lots of missing learners in my R02 return and we subsequently decided to roll back both learner entry tools to R13 and R01 and re-enter all achievements and withdrawals/breaks in learning, whilst using the new system for learners onboarded since August. In hindsight we probably should have waited until after R14 :). It's caused a lot of heartache, stress and much more work! I'm currently using filemerge and have managed to merge two ILRs successfully and upload R03 without errors. In terms of pitfalls, my experience was with late notified achievements and an algorithm which needed amending within APTEM as it didn't recognise that it should take the later date of either last date in learning or achievement date so I had a number of standard learners who finished learning and moved to Gateway at the end of July but the achievement date was in August. I was expecting payment in R02 as they were late notified but in fact the learners didn't appear in R02 at all because of the algorithm thing. I think that is worth addressing with your software people. It's all very lovely doing a batch file export and just selecting the relevant year but if you've got learners missing it sets off alarm bells at ESFA. I had a long exchange of emails with my partnership manager explaining why so many learners had literally dropped off the submission.
