As always, the whole thing is a mess, with conflicting information being provided in different sources. The guidance document is clearly indicating the inclusion of learners in gateway. "If the Completion Status is 1 and the Learning Actual End Date is not populated and the difference between the Learning Planned End Date and the ILR Freeze Date (not 31/03/24 for R08 stated on the dashboard) is greater than or equal to 1 day. If the Completion Status is 1 and the Learning Actual End Date is populated and the difference between the Learning Planned End Date and the Learning Actual End Date is greater than or equal to 1 day." Yet the dashboard states otherwise. [image] The total counted for our R05 data doesn't match what we would expect, the background learner data includes gateway learners, and only lists learners who are over their end date by more than 30 days, not 1. Requires improvement.

@... 1) You should not have recorded the additional £2000. 2) & 3) I suspect that in each of these cases the learner has already done part of the standard with another provider. This may also mean that when they started it a different capped rate applied, and you would be subject to the original rate. The ESFA will only pay what funding is left on the standard. You may need to re-negotiate with the employer regarding invoicing them for the difference. HTH

Hi Alison, I would say that the ESFA calculation is the correct one, as both the start date and the end date are training days. So an excel date calculation is PED +1 - SD. Check the calculations by putting the Start date as 01/08/23 and the Expected end date as 02/08/2023. Clearly two days; your spreadsheet will give one, the ESFA will give two. HTH Martin

Indeed, the guidance would indicate that your original choice would be the correct one, but it does not appear to be the case. I have been calculating my own figures for the AAF since it's original release, initially using the Apps indicative payment report as the main data source, but now taking it from the FIS SQL database "Valid Learning delivery" table. It has always been necessary to use the total programme aims figure to match the published results. There are still some areas that I have issues with, such as the BIL count of learners >= 180 days, or >= 365 days, in my view these have not being calculated to the end of the period, but the file submission deadline. I have yet to review the R13 figures for this, as I have been concentrating on R01 / R02, but I shudder to think what date they used for that, but I have a nasty feeling it was 14th September, as a quick look shows our numbers have gone up, and frankly there is no reason for that to have occurred.

Hi Ben, Don't calculate your percentage with the "total number of Apprentices" as the denominator, use the "total number of programme aims", this should be the far right column, of the FE provider dashboard, filtered to apprenticeships. this will be a higher number, and therefore result in the lower percentage.
