Hi Lorraine, We come across this now and again as it would appear when you get a divorce you have to send your original marriage certificate off and many people don't keep a copy of it (I never knew this), we also get it where their school adds step-dads name at the request of mum without any official proof of name change. If we are unable to use the PLR we get the apprentice to complete a statement set out as below. I had asked the ESFA for advice on a name matter and they said "In terms of authentication of an individual that lies with the provider and you will need to satisfy yourself that the person referred to on any certificate is indeed the apprentice." - this was regarding an integrated apprenticeship, so if you are needing to evidence maths and English for a standard it might be worth checking with the EPAO. [Apprentice Address] [Current Date] To whom it may concern, Re: [first name, middle name, last name] [DOB] I was born [name as on birth certficate] on [DOB], I married in [year] and changed my name to [married name], I divorced in [year] and remarried in [year] when I changed my name to [next name], [adding new lines for any further divorces]. We're also having this issue, DAS showing its not been updated since 23/03/2026 even though we have submitted ILRs on 30/03/2026, 02/04/2026 and today so we've not been able to start getting new learners on. Raising a ticket today.

Hi Claire, Regarding the compliance paperwork in Aptem, yes leave the ILR with the original planned end date, but I believe if you amend the programme end date on the learner's record (outside of the ILR) and press update next to the TP/AA, it should generate with both dates - if the ILR dates differ to the programme dates then the documents should show both. Clicking on Reset Signatures also means that all parties can then sign for the udpates. Depending what version of TP you use in Aptem as well, you may be able to add the rationale to the TP, possibly removing the need for an additional document, then continuing to monitor via reviews and OTJ records as normal. If you haven't already, it's worth reaching out to your Customer Success Manager at Aptem as this was raised some time ago and they were working on a way to support with it.

We sometimes have it where the apprentice went on a break in the last funding year but then withdraw instead of returning this funding year. In these instances we force include them in this funding year's ILR as they don't appear to be included in the batch file otherwise so, I don't think it closes their record fully. I'm not sure if this is completely necessary but we do it (we use Aptem).

Nope, none of them are on the FRM06 tab. The only reason we realised was because an employer noticed a change to their drawdown amount, and I think that was only where the ZPROG date changed as well. Nothing like being kept on your toes in the run up to R14!!

Thank you, Ruth, that is interesting (and I'm saving that page because I can never find it when I need it!). We are going to manually correct them before R14, there are quite a few and we have discovered this afternoon that it seems to have occurred because of the change to the programme we applied in our system automatically updating the ILR despite all "update ILR " tick boxes being left blank. It's so annoying and I'm surprised that they haven't flagged on a report somewhere or on PDSAT.

Hi Scott, not sure is this helps but it's worth checking that when you download the file the correct funding year schema is selected (21/22). We use Aptem so it defaults to this but when I download an R13 ILR file I have to remember to change it to 20/21 otherwise it tells me the XML is not well-formed when I try to upload it to the portal.
