We do our OTJ and duration calculations in exactly the same way as you Ruth Canham-James including our term-time apprentices doing more than 6 hours per week OTJ training on average. Phil

Hi Kate Danbury, The answer is it depends. The QAR is calculated for the Hybrid end year which for apprenticeships is the latest of: 9. We base the overall QAR on the hybrid end year, which is the later of: • the achievement year of an apprenticeship • the actual end year of an apprenticeship • the planned end year of an apprenticeship • the reporting year If the PED is in this or future academic years it will be the date used to calculate the Hybrid end year as it will be after the withdrawal date. If the PED is after the withdrawal date the Apprenticeship will be included in the year of the PED. That could be this year, next year or later years However if the PED is passed then the Hybrid end year will depend on the reporting year i.e. it will be this year UNLESS: 29.Aims where the learner is on a planned break (with a Completion status of 6 ‘Learner has temporarily withdrawn from the aim due to an agreed break in learning’), are treated as a withdrawal for the overall methodology where either of these apply: • they do not have a corresponding restart record in the same funding year • they do not have a corresponding restart record in the following funding year • if the planned break was recorded in the ILR R14 return for funding year 2019 to 2020, they do not have a corresponding restart record in the R04 ILR return of the funding year 2021 to 2022 In this case the Apprenticeship MAY already have been counted in a previous year depending on the BIL date and the PED date. Para 29 does not apply if the PED is after the withdrawal date. Hi Bill Smith, As it is a withdrawal you should not change the hours for any aims that have started - aims yet to begin should be removed. From Memory if they are in learning on the 42nd day then you will receive funding for the learner @ 50% of the funding band from the GLH and EEP hours returned. If you amend the record, generate an ILR and stick it through the FIS/HUB the reports output will confirm if you are getting paid or not. NOTE: - From an audit perspective this learner will appear on the PDSAT for learners withdrawing in and around qualifying period so make sure you have evidence of first and last attendance to back up the claim. Hi @..., To be eligible for apprenticeship funding the individual would need to meet the requirements in Annex A of the current funding rules: Apprenticeship funding rules for main providers - Annex A: Eligibility criteria (who we fund) - Guidance - GOV.UK (www.gov.uk) The Biometric Residence Permit is an official document from the Home Office that shows the immigration status of an individual. You can use this information written on the card along with the rules above to determine if the learner is eligible. HTH Phil

In your next return close the July 2022 apprenticeship by withdrawing all aims from their original start date in July. Then create new records for the Apprenticeship aims with the August startdate. The apprenticeship service should recover any amounts already paid for the original records in your next payment, however they should also pay you the two months missed for the new records. As you are withdrawing the apprentice with zero duration the erroneous enrolments will not be included in your QAR. Rember to update the apprenticeship evidence pack and where appropriate get the Employer and apprentice to re-sign. HTH, Phil

When did the apprentice end their previous apprenticeship? If they withdrew a year ago, then I believe the amount you can claim may be dependant on the RPL assessment and not what has already been drawn down as this is not a restart per sey. Para 242 above is from the changes of circumstances section of the technical rules. I think that this only applies when an apprentice moves form one provider to another without a break but I may be wrong Martin West what do you think? Phil

NI Numbers are only *Required* for Apprentices and learners claiming full funding due to their Benefit status. Asylum seekers usually do not have NI numbers as they usually do not have the right to work. HTH Phil
